What we hold, and for how long.

Who is responsible

This site is operated by BIG DOG TRADING LIMITED, registered at ROOM B, UNIT 9, 7/F, WAH SHING CENTRE, NO. 11 SHING YIP STREET, KWUN TONG, HONG KONG. For the Personal Data (Privacy) Ordinance (PDPO) of Hong Kong, that company is the data user for personal data collected through caimanfield.com. Questions, access requests and complaints go to BIGDOG202614@outlook.com.

What we collect

We collect what an enquiry or an order needs, and very little else. From an enquiry: your name, email address, optional telephone or WhatsApp number, the piece or SKU you are asking about, quantity, finish, destination country and the message you write. From an order that follows: billing and delivery address, company name if you use one, purchase order reference, shipping account details if you supply them, and the correspondence we exchange about the piece.

Our web server also writes a standard access log: IP address, time, requested path, referrer and user agent. Those logs exist for security and troubleshooting. We do not use them to build a profile, and we do not combine them with your enquiry to work out what else you might buy.

Hide provenance and CITES records

When an order involves a crocodilian hide, the provenance paperwork is attached to that order and kept with it. That means the species, the tannery lot number, the CITES export permit number and the re-export documentation issued for the shipment are stored alongside the invoice, the packing note and your delivery details, because a customs authority may ask either of us to produce them years later.

These records live in the order file, not in a marketing list. They are not used to contact you again and they are not shared with anyone except the courier, the broker or the importing authority that needs them for clearance. If you ask for a copy for your own import file, we send it by email and note the request against the order. If you ask us to delete personal data, the permit copies that identify the hide — and not you — can be retained as commercial records.

Cookies and session state

This site sets one session cookie so the server can remember the pieces on your enquiry list while you browse. It holds no advertising identifier and expires when your session closes. We do not run third-party analytics, retargeting pixels, social plug-ins or advertising cookies on these pages.

If you block cookies, the site still works. Your enquiry list may simply not survive a change of page, and you will need to send the SKUs by email instead.

Why we use it

Under the PDPO we use personal data for the purpose it was given to us: answering enquiries, preparing quotations and invoices, arranging shipment and customs paperwork, providing after-sales service, and keeping accounting records. Where you send an enquiry you consent to that use; where we issue an invoice we also process the data to perform our contract with you and to meet Hong Kong tax and record-keeping duties. We do not sell, rent or trade personal data, and we do not use your email address to send newsletters you did not ask for.

Who else sees it

Couriers and freight forwarders receive the name, address, telephone number and the customs description of the goods. Our email provider processes messages on our behalf. Banks and payment providers see the payment reference and the amount. Where a shipment needs a customs broker, we share the permit details and the commercial invoice. Professional advisers see records only where a dispute, an audit or the law requires it. Each of these parties receives the minimum needed for its task.

Sending data outside Hong Kong

Hong Kong has no general statutory restriction on transferring personal data abroad, but we still keep transfers narrow. Courier and email providers may store data in other jurisdictions under their own terms, and a customs broker or importing authority in your country will receive the shipment documentation. We do not transfer your data to a country for marketing purposes, and we do not sell data onward anywhere.

How long we keep it

Enquiry records, including email threads and WhatsApp notes, are kept for 24 months from the last contact and then deleted. Order records — invoice, packing note, shipping documents, CITES paperwork and payment records — are kept for 7 years to satisfy Hong Kong accounting requirements. Server access logs are rotated after 90 days. If you ask us to delete enquiry data earlier we will, unless a live order, a warranty claim or a legal duty requires us to keep it.

Your rights

Under the PDPO you may request access to the personal data we hold about you, ask for corrections, and ask us to stop using your data for a particular purpose. Write to BIGDOG202614@outlook.com with enough detail for us to identify the record — an order reference or the email address you wrote from is usually enough. We answer access requests within 40 days and normally much sooner. We may need to verify your identity before releasing data, and a reasonable fee may be charged where the PDPO allows it.

Complaints

If you are unhappy with how we handled your data, write to us first at BIGDOG202614@outlook.com. We will explain what happened and what we will change. If we cannot resolve it, you may complain to the Office of the Privacy Commissioner for Personal Data (PCPD) in Hong Kong. Where the law of your own country gives you a right to complain to a local supervisory authority, you keep that right.

Children

This site sells high-value leather goods to adults and businesses. We do not knowingly collect personal data from anyone under 18, and we do not direct any part of the site at children. If you believe a child has sent us personal data, write to BIGDOG202614@outlook.com and we will delete it.

Changes and contact

We may update this notice when our suppliers, couriers, brokers or the law change. The date at the foot of this page always shows the version in force. We will not apply a new purpose to data you gave us under an older version without telling you first.
